The General Data Protection Regulations (GDPR) requires Skopos Limited to manage personal information in accordance with the Data Protection Principles. In particular, our Company is required to process your personal information fairly and lawfully. This means that you are entitled to know how we intend to use any information you provide. You can then decide whether you want to give it to us in order that we may provide the product or service that you require. All our employees are personally responsible for maintaining customer confidentiality. We provide training to all employees to remind them about their obligations. In addition, our policies and procedures are regularly audited and reviewed.

What we Collect

our personal information will be held securely in our systems so that we can manage your relationship with us, either now or in the future. This will include information you provide to us when you first contact us and any additional information you provide to us, including;

  • In emails and letters, and during telephone calls and conversations with our Employees.
  • From analysis (for example, the amount and frequency) of your purchases and your use of our services.
  • Information Skopos receive from other companies within our group and from other organisations such as credit reference agencies.
  • When you buy our products or services. We do this to be able to deliver our services and send you important company announcements, operational information, for contractual reasons, to process financial transactions and for legal reasons.

We collect name, company name, business email address, business and mobile phone, account/company address, job title and if you use Skopos products and what those are.

We may collect other information when you identify yourself by filling out a form, using the contact, download or sign up forms and this will be connected to your personal information.

We collect data that you have sent to us through online customer surveys, event registration forms, contact us or career enquiries.

The data you pass to us may be processed outside the European Economic Area, although the data will always be held securely and in line with the requirements of UK data protection/GDPR legislation.

How We Use Your Data

We may share the personal information we hold about you within Skopos for the following administrative activities:

  • Providing you with products and services and notifying you about developments or changes to those products and services
  • Responding to your enquiries or complaints.
  • Undertaking transactional analysis.
  • Testing new systems and checking upgrades to existing systems.
  • Evaluating the effectiveness of marketing and for market research and training.

By sharing this information, it enables us to better understand our customer’s needs.

Your data may also be used for other purposes for which you give your specific permission, or in very limited circumstances, when required by law.

We will treat your personal information as private and confidential, but may share it with each other and disclose it outside Skopos if:

  • You consent
  • Needed by our agents, advisers or others involved in running the business or collecting what your owe.
  • HMRC or other authorities require it.

We will always ensure your information remains safe and secure.

Credit Reference Agencies collect and maintain information about consumers’ and businesses’ credit behaviour. This includes Electoral Register, fraud prevention and credit information, including details of County Court judgements, decrees and bankruptcies.

The information that Skopos receives about you and your business (if you have one) may be provided to other organisations and used by them and us to;

  • Help make decisions, for example when: Checking details for credit Managing your account Recovering debt
  • Detect and prevent crime, fraud and money laundering
  • Verify your identity
  • Undertake research, statistical analysis and systems testing.

Ensuring we deliver excellent customer service is very important to us and to do this, various methods of communication may be used to keep you updated about your account. We generally use three methods of communication, email, post or telephone. If we use email to contact you, we will only do this if we have ensured that using email will not put your information at risk.

We may monitor or record phone calls with you in case we need to check we have carried out your instructions correctly, to resolve queries or issues, to help improve our quality of service and to help detect or prevent fraud. Conversations may also be monitored for staff training purposes.

The GDPR introduces specific regulations concerning the capture of an individual’s consent to process their data. Individuals cannot be automatically opted in to marketing and their explicit consent must be received.

Email Marketing & DIrect Mail

If you are a customer, partner or prospect, we may use your business contact information and business address to send you marketing communications such as email marketing and direct mail. We may also send you product, company news and service updates that are relevant to your use of our website, products and services. We will process this personal information for legitimate business purposes stated above.

How Long We Keep Information

We keep business/personal information as long as it is warranted for us to fulfil our commitments to you, or to adhere to legal or regulatory requirement. If you are a customer, partner or prospect, we keep information for the duration of the relationship. If you have requested to receive marketing communications, we will keep your personal information only as long as you interact with us, or until the data subject opts-out or asks to be forgotten.

Information collected through online customer surveys are kept for a maximum of 5 years. This is so we can establish year-on-year comparisons to determine trends.

Opt Out: You can choose to opt out of marketing communications at any time, regardless if you are a customer, partner, or none of the above.

Subject Access Requests: You can request a copy of your personal information and you can update any incorrect information.

Right to be Forgotten: You can ask to have your personal information removed, or in some cases limit our processing of personal information. This does not apply when we need to keep your information for legal reasons.
